I've looked at the most popular tools on the market today. My requirements were simple, I wanted to find the best tool for scheduling my many tasks, time tracking and billing clients. With these main points, I then looked at if the tool could set up multiple projects and clients, and track my time between each project/client the last piece was the most important and that was having the ability to send this information to an accounting system where I could reconcile/invoice and track expenses. I had (up until this point) been using a variety of different tools and using an integration tool like Zapier to connect them and I just thought there must be an easier (ahem cheaper) way.

So here are my findings, I hope they help you!

What is ClickUp?

ClickUp is a work management hub. It allows you to schedule tasks or create projects. while also clocking how long you take to complete them. It integrates with most well-known apps such as Trello, Google Drive and MS Outlook. It has an easy-to-navigate “University” training hub so you can find training that is relevant to you. It's easy enough to work on projects with other people, tracking progress and collaborating.

I couldn't determine how to set up billing for things like invoices and tracking expenses and I don't think this currently integrates with any accounting software but it does integrate with applications like Zapier, so this means it does have the capability to manage absolutely everything you need within your business for free. They have recently brought out ClickUp AI for $5/month which can help you plan campaigns or create Standard Operating Procedures (SOPs) or help to write a blog post. Overall, it's a hub that can help you sort and manage any workload.

ClickUp emerged as a top performer in my analysis, primarily due to its comprehensive feature set and the highest average rating. This robust platform offers task management, and time tracking, along with strong integration capabilities. The cherry on the top is its ability to create custom workflows, tailoring your workspace to your exact needs. If you're a solopreneur looking for a feature-rich yet manageable tool, ClickUp is definitely worth considering.

How much is ClickUp? Free. With additional storage and features at $5/month, the middle plan is $12/month, and it scales up from there.

What is Trello?

If simplicity and visual appeal are what you crave, Trello will be right up your alley. It uses a system of boards, lists, and cards to organize and prioritize your projects. Each card represents a task, which moves across lists that represent different stages of a project. It's intuitive, visually engaging, and excellent for small to medium-sized projects. Trello also allows integration with other apps for added functionality, making it a versatile option for solopreneurs and bloggers. This tool is made by Atlassian the same company that made JIRA, so it has been around for quite a while now, and they listen to their customers!

I liked the templates feature, and I really liked the client onboarding workflow. I love that this has been created and shared by other consultants in the business. It also integrates with other applications but only if you upgrade.

How much is Trello? free. But if you have to upgrade to integrate with other applications, it's a standard $10/month

What is Basecamp?

Basecamp ranks high for its user-friendly interface and cost-effectiveness. It's a comprehensive project management tool with integrated time tracking and some connections with accounting systems. What sets Basecamp apart is its straightforward approach to project management, eliminating unnecessary complexities and focusing on simplicity and functionality. It's also praised for its excellent customer support, making it an ideal choice for those new to project management tools.

How much is Basecamp? It's free for just tracking your tasks, but once you start employing people, the costs start to rise.

What is Zoho Projects?

Zoho Projects stands out for its seamless integration with accounting systems, making it an all-in-one solution for project management, time tracking, invoicing, and expensing. It's part of the larger Zoho suite, which means it can seamlessly connect with other Zoho applications to create a holistic business management ecosystem. If you're a solopreneur juggling multiple aspects of your business, Zoho Projects could help streamline your processes.

This tool stood out for me because I liked the integration with the accounting aspect. It is always such a headache to keep on top of invoices and chase clients and this was definitely one of the things I wanted on my list of requirements.

How much is it? it's free for the basic version but if you are interested in the financial integration then the costs start at $4/month (on the yearly plan) which all things considered, isn't bad.

What is Smartsheet?

Smartsheet is lauded for its scalability and its familiar, spreadsheet-like interface. The software can handle project scheduling, collaboration, document sharing, and reporting, all while integrating well with other systems. It's an excellent choice if you're comfortable with spreadsheet-like interfaces and need a tool that can grow with your business.

I use this tool a lot with large corporations and it works well. I spent many years addicted to spreadsheets and when I learnt about MS Project, I found it difficult to move over to Gantt. But now I love them both and this tool just flips easily between the two, I enjoy using it for all the different views it gives me to be able to see my tasks and I can also move the tasks around easily and assign them to other people. You can automate some of your regular tasks by creating a workflow. The other tools in this suite do a lot more integration for a lot less.

How much is it? There is a free version and it is pretty basic. The next price is $6/month and this is where it starts to integrate with other tools. If you are planning to scale up then it's a really good tool to use and most large corporations work nicely with it.

What is Asana?

Last but certainly not least, Asana is known for its high customizability and excellent scheduling capabilities. This tool lets you plan and structure your work in a way that suits your needs, set priorities and deadlines, and assign tasks all in one place. It supports different views for managing tasks and projects and integrates well with other systems. If you're a solopreneur who values flexibility and control over your workflow, Asana could be the right choice.

I like Asana as a classic project management tool. You schedule your tasks and depending on your mood you can easily see the different views. This helps to reduce errors. It's a simple tool and does exactly what it says on the tin. makes it very easy to manage your tasks. I especially like the home page which gives you a rundown of your goals and you can see how you are progressing against them. I think that would be either satisfying or motivating. It has the ability to set up workflows for your SOPs as well but integration with other tools isn't clear. It also comes in other languages, which might be attractive as well.

How much is it? It's a free trial for 30 days and then you pay roughly $11 a month.

Scoring the Contenders

You're probably wondering how I came to understand the best project management tools and the above conclusions. Firstly I signed up for them all and tried them by setting up mini-projects and scheduling them. I created a scorecard, where I gave each tool a score for specific things like usability, versatility, integration with other systems and a few other things that I felt were important to me. Below are a summary of my results and while I felt the above tools were overall winners that I love, it's important to note that just because I like it, it might not be the right tool for you.

In summary, Trello and Basecamp won hearts with their simplicity, earning a perfect 5 in ease of use. Trello also charmed with its user interface, taking the crown with a score of 5.

When it comes to scheduling, Microsoft Project, Smartsheet, and Asana lead the pack, all boasting a solid score of 5. ClickUp and Harvest showcased excellence in time tracking, each earning a commendable score of 5.

Zoho Projects and Dubsado took top honours for seamless integration with accounting systems. JIRA, Microsoft Project, Smartsheet, and Asana demonstrated superior scalability and integration capabilities, making them a popular choice among users.

In terms of customizability, ClickUp and Trello proved their mettle, both earning a resounding score of 5. Basecamp, with its score of 5 in cost, emerged as a great option for those looking for a pocket-friendly tool.

Several platforms including Basecamp, ClickUp, Zoho Projects, Teamwork, Wrike, Harvest, Dubsado, Smartsheet, Trello, and Asana excelled in customer support, all securing a score of 5. All tools met high standards in security and compliance, scoring a 5 in this category.

In the end, ClickUp managed to secure the highest average rating with a score of 4.5, setting the bar high for its competitors. Each tool has its unique strengths, and your choice ultimately comes down to what fits best with your business needs. Happy tool hunting!
